Markpedia ERP Usage Terms and Conditions
1. Introduction
These Terms and Conditions govern the use of the Markpedia Enterprise Resource Planning (ERP) system. By accessing and using this ERP, users agree to comply with these terms. The ERP is designed to manage company operations efficiently while ensuring data security and role-based access.
2. User Access & Responsibilities
- Access to the ERP is granted based on job role and department.
- Users must maintain the confidentiality of their login credentials and notify IT support immediately in case of unauthorized access.
- Sharing login details or accessing unauthorized sections of the ERP is strictly prohibited.
3. Data Privacy & Security
- All data within the ERP belongs to Markpedia and is protected under company data policies.
- Users are not allowed to export, copy, or distribute confidential company data without proper authorization.
- The ERP system logs all user activities to prevent unauthorized access or misuse.
4. File Management & Access Control
- Files are restricted to designated roles and departments.
- Sales personnel can only access Sales files, select HR files, and General Company files.
- Managers have additional access to strategic files, while HR and Finance personnel access department-specific files.
5. Leave Management & Employee Records
- Leave requests must follow the approval hierarchy: Employee → Manager → Operations Manager → HR → CEO.
- Once a leave request is approved or rejected, it is logged into the system, and colleagues are notified.
- Employee warnings or disciplinary actions will be reflected in their account.
6. Account Suspension & Termination
- When an employee resigns or their contract is terminated, their ERP account will be suspended or reassigned.
- Access to system data and files will be revoked immediately after exit clearance.
7. Compliance & Legal Obligations
All users must comply with company policies, data protection laws, and industry regulations. Any violation of these terms may result in disciplinary action, suspension, or legal proceedings.
8. System Updates & Maintenance
- Markpedia reserves the right to update, modify, or temporarily suspend the ERP for maintenance and improvements.
- Users will be notified in advance of any significant changes or scheduled downtime.
9. Prohibited Activities
Users are strictly prohibited from:
- Attempting to access unauthorized sections of the ERP.
- Modifying, deleting, or manipulating data outside their permitted access.
- Engaging in fraudulent or unethical activities within the system.
10. Dispute Resolution
Any disputes related to ERP access, data handling, or user misconduct will be handled internally through Markpedia’s dispute resolution framework.
11. Acceptance of Terms
By using the Markpedia ERP, users acknowledge and accept these Terms and Conditions. Failure to comply may lead to restricted access, disciplinary action, or termination of employment.
